Refund policy

Eligibility window

Written refund or reschedule requests must reach hello@distributednetsystems.digital or +81 10-700-3874 at least seven (7) days before the programme start time stated in your confirmation email. Requests inside that window are handled under the partial or non-refundable rules below.

Deposits

Workshop and lab seats may require a deposit (typically ¥12,000 for Foundations) to hold a place. Deposits are credited toward the programme fee. Deposits become non-refundable within seven days of the start date, except when we cancel the session.

Full refunds

You receive a full refund of amounts paid for that programme when:

• We cancel or materially relocate the session and you decline the alternative we offer; or
• You cancel in writing at least seven days before start and no materials unique to your enrolment have been produced yet.

Partial refunds

If you cancel between seven and three days before start, we may refund 50% of the programme fee after deducting the non-refundable deposit portion and any already prepared personal materials (for example, printed packs already ordered for your seat). Mentoring cohorts that have completed one or more live sessions are refunded only for unused remaining sessions, less a 15% administration fee on the unused portion.

Non-refundable items

• Private chart review fees once the 75-minute session has begun.
• Work already started on annotated PDFs after you upload charts for a confirmed review.
• Printed workbooks or chart packs that have been produced specifically for your enrolment.
• Recording access once credentials have been issued for a mentoring cohort.
• No-shows without prior written notice.

Cancellation by you

Email the programme name, confirmation date, and preferred outcome (refund or reschedule). We confirm receipt within two business days.

Rescheduling

One complimentary reschedule to a later published date of the same programme is allowed if requested at least seven days before start and space exists. Further reschedules may incur a ¥5,000 administrative fee. Private reviews may be moved once with at least 48 hours’ notice; shorter notice is treated as a no-show.

No-shows

Failure to attend without timely notice forfeits fees for that session or day. Mentoring cohorts do not extend automatically for missed weeks unless we agree in writing.

Work already started

If mentoring or review preparation has begun (chart intake reviewed, annotations drafted), refunds exclude the value of work completed, calculated proportionally against the programme fee.

Refund method and timing

Approved refunds are returned via the original payment method when possible, or by bank transfer to a Japanese account you designate. Processing typically completes within fourteen (14) business days after approval. Currency conversion fees charged by your bank are not reimbursed.

Exceptions

Documented medical emergencies or travel bans affecting your ability to attend may qualify for a goodwill reschedule or partial refund at our discretion, even inside the seven-day window.
